- Curriculum fee is due on or before May 1st, prior to the start
of the upcoming school year, unless enrolling mid-year in which
the curriculum fee would be required immediately. Students cannot
begin class without book fees being paid.
Purchase uniforms.
- Complete a FACTS monthly or bi-yearly tuition payment agreement
(bi-yearly payments due on July 1st and December 1st; $75 discount
per child) or sign intent to pay tuition in full prior to July
1st (receive a $150.00 discount per child), prior to the upcoming
school year. FACTS agreement is to be completed on or before May
1st, prior to the start of the upcoming school year, in order
to guarantee the student’s space.
- Complete a TRANSCRIPT REQUEST FORM to have transcripts submitted
from
former school, AND submit the following:
- a copy of the student’s birth certificate
- a copy of the student’s social security card (or at least
the number if available)
- a copy of a State of Florida Doctor’s Health Form and
a State of Florida
Immunization Form, confirming good health, any physical challenges,
and
medications being taken by the student.
Registration Fee Refund Policy
- The registration fee must accompany the Registration Form.
- Because supplies are ordered and personnel is hired based on
registration numbers, it is a hardship on the academy to accommodate
late withdrawals by issuing registration refunds.
- Fees are non-refundable unless the student has been placed on
the waiting list due to full class enrollment, or he/she has not
met the admission requirements.
Payment Agreement
- Parents enrolling a child are responsible for payment of all
tuition, fees, and related costs.
- Any financial arrangements made between a parent and a third
party concerning the payment of fees, extended care costs, and
tuition are the private concerns of the parent(s) and does not
involve Heartland Christian Academy.
- The academy is not responsible to collect any delinquent fees
from a non-custodial parent, relative, or a benefactor who does
not have a written agreement with the academy. Unless there is
a court order (on file with HCA) holding a third party responsible
for any unpaid tuition, fees, or costs, the enrolling parent will
be held responsible.
Please note: Unpaid fees prohibit future
admissions and the release of report cards and transcripts.
- A parent enrolling their child at HCA is agreeing to pay all
tuition, fees and school related costs according to the signed
payment agreement. Through a FACTS agreement, parents will choose
to have their tuition payment automatically withdrawn from their
checking account, either on the 5th or the 20th of each month.
Parents opting to pay tuition in full must do so on or before
July 1st. Parents opting to pay tuition in two payments must do
so by July 1st and by December 1st.
Please note: Delinquent account balances can
only be carried a maximum of 60 days before the student(s) is
restricted from attending school. Further extensions will not
be granted as it increases the debt burden on the family. If a
delinquent account balance results in permanent withdrawal, student
records will not be released until the account balance has been
paid. HCA will not make any special arrangements regarding the
student’s school assignments during a time of restriction.
Once the balance is paid and the student returns to school, makeup
work will depend on the discretion of the teacher(s) and where
in the grading period the restriction occurs. Certainly, restrictions
due to delinquent account balances will adversely affect a student’s
grades.
Missed Payment and Returned Check Charges
- A $20.00 missed payment fee will be automatically assessed to
your account for each FACTS payment attempt that is missed.
- A $25.00 fee will be assessed for all checks returned from the
bank. If two checks are returned, another method of payment will
be required to be arranged.Full Year
Enrollment
Registering and enrolling a student at Heartland Christian Academy
is a financial equivalent to a lease agreement for 10 months.
Parents/guardians are expected to pay the tuition and all related
expenses for the full school year. A child’s placement in
the school may mean others (and their tuition revenue) were turned
away in the expectation of the child filling the space in the
school for the full school year. Failing to complete the year
seriously affects HCA’s budget, as teachers are contracted
and curriculum is purchased based on the projected tuition payments
from students registered and enrolled at the school.
Withdrawal from Heartland Christian Academy
In the situation of a student withdrawal from the Academy at the
decision of the parent, for any reason, the parent will be responsible
for a withdrawal fee of one month’s tuition.
The Academy plans for and makes purchases to meet the educational
needs of every student for an entire school year. Withdrawals
adversely affect the budget projections set for each student.
Withdrawal fees allow the Academy to recoup a small portion of
promised revenues and process replacement students.
Request of Records
Parents or guardians may request a copy of their child’s report
card if theirs is lost. Report cards are not released to parents
when prohibited by a court order (the court order must be on file
with the Academy office). To maintain confidentiality, the Academy
will not release records to anyone (other than school entities)
without the approval of the parent. Requests must be made in writing,
proper ID must be provided, and a one-day processing time may be
required.
In instances of student withdrawal and transfer, official transcripts
are forwarded directly to the next enrolling school.
Additional Expenses
The following is a list of expenses (not necessarily all-inclusive)
not included in tuition:
Sports (intramural) – registration fee, uniform, supplies
Field Trips – All field trips will have a fee to cover travel
costs and admission fees.
Professional School Pictures – All students must have their
photo taken; purchasing a
portrait package is optional.
School-wide and classroom special events may require a donation
from each student to
cover expenses of the event.

Gradation caps and gowns
Fundraisers
The school may sponsor up to 2 major school-wide fundraisers each
year to help supplement the school budget or add to the building
fund.
In addition, individual grades or school groups or departments such
as athletics, music or individual classes may have fundraisers to
support specific efforts, needs or events.
